How do I withdraw from a course or from QCT?

To withdraw from a course or from QCT, you must meet with an academic advisor and submit the official withdrawal form. The date the College receives your completed form determines whether you meet the deadline for a W grade.

Can I change courses before the semester begins?

Yes. While registration is open and the semester has not begun, you may add or drop courses without an academic transcript notation.

This does not create a right to a refund. If you intend to leave QCT entirely, you must complete the institutional withdrawal process; removing all courses does not complete it.

What is the course-withdrawal deadline?

A W does not affect your GPA. An F does affect your GPA under the College’s grading policy.

The seven-day rule is specifically for mid-term students. Students enrolled before the semester begins use the standard 14-calendar-day window.

Important: The College must receive your completed withdrawal form within your applicable window. Requesting an appointment or speaking with an advisor does not preserve or extend the deadline. Arrange your meeting early enough to complete the process on time.

How do I complete the withdrawal process?

  1. Request a meeting with your academic advisor. This is required for both course and institutional withdrawal.
  2. Attend the meeting. Your advisor will review your circumstances, academic standing, available support, and the consequences of withdrawal.
  3. Complete the official withdrawal form. If you proceed, your advisor will provide the form. Submit the completed form for administrative review and approval.
  4. Review your remaining obligations. Following approval, documentation is forwarded to the Office of Financial Aid to determine the amounts owed under the financial policy.

When does withdrawal from QCT take effect?

Institutional withdrawal takes effect at the end of the semester in which you submit the official request. It does not take effect immediately when you stop participating or request a meeting.

Your course grades depend on when the completed form is received. Institutional withdrawal within your applicable course-withdrawal window results in W grades for the current courses you withdraw from. After that window, those courses receive F grades.

Can I take a leave of absence instead?

An LOA must be requested before the semester begins. Once the semester has begun, an LOA is unavailable; if you need to take that semester off, you must request institutional withdrawal.

Approved leave and withdrawal have different financial-aid and return rules. Review the leave-of-absence policy before deciding.

What if I remove all my courses myself?

Removing all courses does not replace official withdrawal. If you remove courses in violation of the required process, the Registrar will restore the affected courses to your academic record and assign failing grades.

This does not prohibit authorized pre-semester registration changes or approved course withdrawals.

What will I still owe?

Under Section 6 of the Student Handbook:

  • Monthly tuition and monthly fees remain due through the final month of your last semester, after applicable aid.
  • The final monthly payment is not prorated. If the semester ends June 1, the full required June payment remains due on its scheduled due date.
  • Unpaid annual-fee balances become due immediately on your effective institutional withdrawal date.
  • Outstanding balances remain owed after withdrawal.
  • Receiving a W or withdrawing does not, by itself, create refund eligibility.

Unpaid balances may result in financial holds, restrictions, and collection activity under the financial policy. They do not postpone the effective date of withdrawal. If your account is deactivated for nonpayment, the separate reactivation rules and $300 Program Activation Fee apply under Section 6.2.5.

What happens after I leave?

Once institutional withdrawal takes effect, you are no longer actively enrolled and your account is deactivated.

To return, you must reapply and satisfy outstanding financial obligations before re-enrollment. Readmission is not guaranteed. You are subject to the tuition rates and policies applicable when you return, and your previous payment-plan terms and discounts are not reinstated.

Students returning after institutional withdrawal are not eligible for institutional financial aid. Aid already applied to the final semester is not reversed solely because of withdrawal.
