How do I request a leave of absence and return to QCT?

An approved leave of absence lets a currently enrolled QCT student take one complete semester off. You must submit your request before that semester begins and return for the semester immediately afterward.

How much time can I take off?

You may take no more than one approved leave semester within any three consecutive semesters. The limit does not reset in Fall. After taking leave, you must enroll and participate in the next two consecutive semesters before you are eligible for another LOA.

Your leave lasts for the semester’s duration shown in the Academic Calendar. If the semester is 14 weeks, the leave covers those 14 weeks. Extensions are not available.

Each leave still requires a request before the semester begins and approval by Administration.

Step 1: Submit the Leave of Absence Form

  1. Log into your Student Portal.
  2. Go to the College’s main website and open Student Services.
  3. Select and complete the Leave of Absence Form.

Only currently enrolled students may apply. Submit the request before the semester you want to take off begins.

If that semester has already begun, an LOA is not available. You must request withdrawal from the College if you need to take the semester off. Withdrawal has different payment and financial-aid consequences.

Step 2: Meet with your academic advisor

Your advisor will contact you to arrange a required meeting. You will review the leave process, expectations, and what you must do to return. Your advisor then submits the request to Administration for approval.

Submitting the form does not mean your leave is approved.

Step 3: Review your approval email

If Administration approves your request, you will receive confirmation by email. Review the leave semester, required return semester, account-access changes, and payment obligations.

Do payments continue while I am on leave?

Yes. Payments continue on their scheduled due dates. An LOA does not pause your payment plan or cancel financial obligations. Keep an active payment method on file.

You retain your institutional financial-aid package during an approved leave. You must still meet your financial obligations, and the College’s nonpayment rules continue to apply.

What happens to my account?

Your student account will be locked for the approved leave semester.

To return, contact your academic advisor to begin reactivation. A $300 Program Activation Fee is required to restore access. Complete reactivation and registration requirements in time for the next semester; paying the fee alone does not register you for classes.

What if I cannot return for the next semester?

There are no LOA extensions. If you do not return and meet registration requirements, you will be withdrawn and lose your institutional financial-aid package.

Returning later requires reapplication, and you will no longer be eligible for institutional financial aid. Outstanding financial obligations remain subject to Section 6 of the Student Handbook.
