How do I report a billing error or request a review?

Open a Student Support Ticket for the Office of Financial Aid immediately if you believe a charge is duplicated, unauthorized, incorrectly calculated, or applied to the wrong account.

What should I include?

Identify the disputed charge and include supporting records. Helpful information includes the charge date, amount, invoice, payment receipt, and an explanation of what appears incorrect.

The College will review your account and issue a written determination. Reporting promptly helps the College investigate. The policy does not restrict any nonwaivable billing-dispute rights provided by law.

When can I request Chancellor review?

You may request review if you believe the College:

  • Misapplied its written policy.
  • Made a billing error.
  • Failed to provide the service for which it charged you.
  • Must provide a refund under applicable law or contract.

Financial hardship, dissatisfaction, or disagreement with the no-refund policy is not a basis for review. The Chancellor’s written determination is final within the College.

Does disputing a card payment withdraw me from the College?

No. A chargeback, card dispute, stop-payment request, or returned payment does not count as academic withdrawal or cancellation and does not eliminate a valid balance.

The College may provide enrollment agreements, invoices, access records, communications, and other relevant information to the payment processor or financial institution. It may also pursue collection, including selling outstanding debt to a third party.

You retain your lawful right to report fraud or dispute a genuine billing error.

Who can answer policy questions before I enroll?

Contact the Program Administrator before enrolling, registering, or paying. The policy is disclosed in the Student Handbook and linked on the cost of attendance estimate. Under the policy, signing an estimate or enrollment agreement, registering, paying, accepting course access, or continuing enrollment after receiving the policy acknowledges the nonrefundable nature of tuition and fees.
